At BEST-KEPT, we are committed to protecting your online privacy. We only use the information we collect about you online to process orders and to provide a more personalized shopping experience. 

When you order products or services on the BEST-KEPT  web site, we need to know the service you selected, details about your space, your name, email address, mailing address, credit card number, and expiration date. This allows us to process and fulfill your order and to notify you of your order status. BEST-KEPT  does not sell, trade, or rent your personal information to others.

When you place orders or access your account information, we use a secure server. This secure server software, SSL (secure sockets layer) encrypts all information you input before it is sent to us. Furthermore, all of the customer transactional data we collect is protected against unauthorized access with the use of digital certificates. Our merchant digital certificates are issued by VeriSign, one of the most established signers of digital certificates.

By using our Web site, you consent to the collection and use of this information by BEST-KEPT. If we decide to change our privacy policy, we will post those changes on this page so that you are always aware of what information we collect, how we use it, and under what circumstances we disclose it.



BEST-KEPT TERMS FOR 1 TIME SERVICE:

This agreement is made between Best Kept Service and the existing client to be serviced by Best-Kept Service
 


1. WHO WE ARE
 

To all clients/ customers, deciding to select any service displayed on this site provided by Best-Kept Service. Best-Kept Service is in essence a referral service and a registered business in the state of New York which functions as a liason or median between the client/ customer who is in need of domestic/ household help and the experienced, professional domestic care providers from the professions of housekeeping, maintenance, janitorial, painting, nannies, babysitters, elderly care, horticulture, dog walking, tutors, etc... All of which have come to Best-Kept Service in order to supplement their income part-time/ full-time as independent contractors & employees. Best-Kept Service offers clients/ customers reliable, trustworthy and experienced  housekeepers, cleaning people, and personal caretakers who act in a workmanlike professional, manner. Upon request of the client, all identification, references, credentials and work history of pre-screened workers will be furnished by Best-Kept Service. 

 


2. FIRST TIME CUSTOMERS 

To all first time clients/ customers. It would be in the BEST interest of  yourself, the client/ customer and Best-Kept Service, initially, to be in the establishment to be serviced so that  the proper instructions can be given to the Housekeeper or the individual who is assigned by Best-Kept Service, during the job, exactly how yourself and the owner would like the duties to be carried out. This is to help Best-Kept Service provide a complete satisfactory service and to help avoid confusion on either parties involved. Also the client/ customer should provide and place  all buckets, brooms, mops and vacuums in a visible place or show the worker where to locate the necessary items to make service as swift and efficient as possible. Unless the equipment has been included in the cost of the service provided by Best-Kept Service. If the client/ customer does not have a properly functioning broom, mop, or vacuum, this must be mentioned during the time of scheduling to avoid a delay  or improper service performance. Because all workers travel by public transportation, it will be an additional price to arrange for Best-Kept Service to provide for transport of brooms, mops and vacuums to a specific job location.This includes gas and toll costs.


3. NON-COMPETE 

All Clients/ customers must agree that there will be no solicitation or side offers for more or less money to Best-Kept Service workers. Nor should there be  any offers to work privately. In other words, there should be no attempt to cut Best-Kept Service out of jobs which the marketing team work really hard to create. A small reminder to clients/ customers. All Best-Kept Service workers, assigned to you for jobs, are under signed 2 year contracts. So there is nothing to gain by making side offers, only termination of service provided by Best-Kept Service. Those wishing to disregard this notice and disclaimer which is agreed upon by both parties, during time of purchase on this website, will be pursued by the most stiffest penalty of the law. Best-Kept Service requires a $50,000 penalty paid by each customer who decides to disregard this notice. Those clients wanting to work on a continual basis with a particular worker, have the option to become a contractual, continual client/ customer, buy out the workers contract or request a particular worker, only. Best-Kept Service will do it's absolute best to accomodate. Otherwise, Best-Kept Service imposes a stiff 5 year minimum before any worker assigned by Best-Kept Service to a client/ customer for any job assignment can work any outside contracted jobs aside from the services provided by Best-Kept Service. Scheduled appointments  should only be agreed upon with the Best-Kept Service administrative staff and never discussed with workers. This clause is to be in affect for a period of 5 years and is effective if the Best-Kept Service worker is still with the company or not.

 


4. TIMESHEETS 

Upon completion of a job or service, the Best-Kept Service worker will present a service check time sheet which must be signed by the client  that same day and date. If a client/ customer is going to be leaving the establishment, before or during the service and will not return for the service end time, the time sheet must be signed before exiting the premises. If a client/ customer will not be in the establishment when the worker arrives and is leaving the keys with a doorman, etc... The client/ customer must  make it known during time of scheduling and a check time sheet will be emailed to the client/ customer ahead of time. This time sheet is mandatory and must be signed and left in a visible area of the establishment for the worker to collect at the service location. . This check time sheet is very important because this is how Best-Kept Service keeps a  record of all existing clients who have received service and its how payroll makes sure Best-Kept Service  workers are paid accurately. 

 


5. PAYMENT OPTIONS

For payment of a service or job by Best-Kept Service, the client must click the ON-LINE BOOKING button located on each service page on the Best-Kept Service web-site and select their service of choice and follow the steps. Please note: that while Best-Kept Service allows customers to select their own service and pay accordingly, Best-Kept Service will not be held accountable for all jobs which are not completed in the minimum time allowed. This is because all clients/ customers establishments are not the same and some spaces may take more time dependent on the actual condition of the space and the last time the establishment was cleaned. All payment transactions & options for scheduled appointments must be agreed upon & completed & confirmed by the Best-Kept Service billing department, 48hours before the service date. This allows Best-Kept Service to schedule workers accordingly and helps to prevent against last minute cancellations. Failure to do so will result in cancellation of tenative, reserved time slots by default. Best-Kept Service does accept cash payments but each customer must submit an On-Line Booking Cash Upon Arrival Form (CUA) with all of the service specifics or send an precise & descriptive email to 
customerservice@best-kept.net to set up an appointment. In return, an itemized email confirmation reply will be sent. When a customer decides to select the option to pay by cash, all cash payments must be placed into a sealed envelope with the exact amount agreed upon & given to the housekeeper or Best-Kept Service representative upon arrival. Waiting til the end of the job is prohibited. 

When a customer does decide to pay for service on the Best-Kept Service website, they are 100% protected. Pay-pal is a secure payment provider. Meaning that all clients/ customers credit card information is protected 100% and Best-Kept Service staff will never have access to cardholders private information. Pay-pal simply notifies Best-Kept Service via email, everytime a payment comes in for service. In return for all advance payments, an itemized confirmation & receipt will be emailed to the client/ customer and clients/ customers will always receive a confirmation phone call the day before service. Clients/ customers wishing to cancel a confirmed payment for service, must give a full 48hr notice. Those who do not will be penalized a 50% cancellation fee for inconveniencing Best-Kept Service workers and staff. Those who provide proper notice will receive the full amount paid during time of purchase. . Otherwise, Best-Kept Service has a NO REFUNDS policy for any services which have been scheduled, booked or have taken place.

 


6. MINIMUM RATES 

Note. Best-Kept Service requires  a minimum rate for each service provided. Credits and discounts will not be issued for jobs which are completed before the time alotted for each service. Each service price is determined by the amount of rooms and square feet of all clients/ customers spaces.  This is simply to assure a swift and quick, quality completion of all jobs performed by our workers. This is how Best-Kept Service keeps both the clients and workers happy.

 


7. DISPUTES 

If there are any problems with services provided by Best-Kept Service, the client should immediately contact the the Best-Kept area manager by calling the office
@ 212-363-0869.  Those clients/ customers choosing to waite longer than 24 hours from the service date & time will run the risk of no remedy. Best-Kept Service asks that all clients & customers offer the opportunity to rectify any unforseen problems by first allowing the same worker to return to provide a complimentary re-do. This re-do will be a supervised visit. And second, a supervisor must be granted permission to enter the premises with the same worker to atleast discuss how service might have been poorly performed. From there a decision will be made. Otherwise there will be no refunds or complimentary services.


 

Policy and Terms for Continual service:

 

By deciding to retain BEST-KEPT SERVICE, you acknowledge that you are the authorized individual at the location where service will take place & you understand that this is a binding 1 year agreement between yourself & BEST-KEPT SERVICE. 

In addition, as a continual customer you understand that Best-Kept service will provide all workers and cleaning materials needed to complete this residential and/or commercial assignment.  Labor costs, cleaning products, and service rates, will be included in the given estimate. Vacuums, brooms and mops will not be the responsibility of Best-Kept. If a client would like Best-Kept service to provide the vacuum, broom or mop for a particular assignment, there will be an additional cost for each item needed. This includes the transport of step stools and small ladders.

 

Insurance:

 

Best-Kept Service is a fully insured and bonded business in the state of New York. The Best-Kept Service insurance policy consists of a $2,000,000 general aggregate liability for commercial occurrences. This includes up to $1,000,000 for each occurrence, up to $100,000 for damage to rented premises for each occurrence & up to $10,000 for each occurrence of employee dishonesty. Best-Kept Service also carries workers comp.  

 

To avoid fraud and false accusations, Best-Kept Service does not offer nor does it issue a certificate of insurance to non-contracted potential clients and customers who have not fully committed to retaining Best-Kept Service by making a full upfront payment before the initial service day and date.

 

Upon request & upon receiving full payment, Best-Kept Service will provide proof of insurance and the customer will be given the option to be listed as an additional insured on the certificate which will be produced by the insurance agency, before the initial service date is to begin. Otherwise, it is Best-Kept Service policy that all insurance information of Best-Kept Service remain kept confidential.

 

In addition, Best-Kept Service reserves the right to accept and/or decline insurance coverage for some residential and/or commercial properties which may or may not fall under insurance coverage guidelines. A few examples of facilities which may not qualify for liability insurance coverage are ruins, chemical plants, waste disposal factories, some medical facilities where there is chemical testing as well as locations where there is existing damages before initial service is to commence.

 

For all jobs accepted by Best-Kept Service where the liability is extreme, Best-Kept service requires customer’s to have their own coverage & a certificate of insurance will not be provided. If accepted, the job will only be done on an independent contract basis & a W-9 would be completed by Best-Kept Service & given to the authorized before the assignment begins. In this case, Best-Kept Service would be operating as a housekeeper referral service & all individuals assigned to the customer would be doing the job as sub-contractors & responsibility for all occurrences would be the owner of the establishment where service takes place.

 

Billing arrangements:

 

Best-Kept Service operates on a 28 day billing cycle with the option for customers to select Monthly, Quarterly or yearly payment methods. We offer this billing option for all spaces 1600 square feet and under.

 

For all spaces between 1600 square feet and 10,000 square feet, Best-Kept Service requires a 3 month retainer for the reservation of scheduled appointment days also to ensure housekeeper(s) availability. This means that all customers with spaces above 1600 square feet would be billed in advance for no less than a quarterly time period.

 

For all large spaces 10,000 square feet and above, which involve a cleaning team of at-least 2 housekeepers or requires a dedicated full time housekeeper, Best-Kept Service requires a 6 month retainer for the reservation of scheduled appointment days also to ensure housekeeper(s) availability as well as worker training & supervision. This means that all customers with spaces above 10,000 square feet would be billed in advance for no less than a 6 month time period.

 

This contract is the customer’s obligation to BEST-KEPT & it is also BEST-KEPT’s obligation to the customer. Any breach on either parties part is sustainable. Meaning by law, BEST-KEPT must provide good service to keep you as our customer. It is the policy of BEST-KEPT that all customers who wish to cancel, provide a paid 30 days written notice which must be emailed to billing@best-kept.net & the remaining balance of any money owed to you minus any expenses that BEST-KEPT has accrued during that period, will be refunded. It is BEST-KEPT policy that any customer wishing to cancel this 1 year agreement with BEST-KEPT SERVICE, must do so within precisely 30 days from the originally agreed upon date & there can be no cancellation after the exact initial 30 day period has expired.  


Payment terms:

 

If paying by check, Best-Kept service asks for payment to be received five days before the scheduled service date is to begin and must be accompanied by an active credit card which will be secured to avoid late payments, cancellations and default payments. This is also to avoid delay in payment for workers overtime & any additional expenses which may occur due to the customer’s request. For check payments, an invoice will always be sent out 14 days before each payment due date. Credit card payments will be processed five days prior to each due date.

 

In the event that a check is not received by Best-Kept Service five days before the service due date, the card on file will be charged. There will be a 10% penalty added to each renewal payment period for all late payments received from the previous 28 day billing period. In addition, if a check provided by the customer is returned all bank fees will be charged to the customer’s credit card which is on file.

  

Reminder: Upfront payments allow Best-Kept service to schedule workers accordingly, and make all parties involved accountable for keeping appointments. In return, all worker’s provided by Best-Kept service will present a service check time sheet, which should be signed by the client or authorized agent, either before or after each service time concludes. As a result, Best-Kept service will handle all payments to workers.

 

Non-compete clause:

 

The owner or authorized agent must agree not to offer side deals to contracted Best-Kept service workers, or attempt to eliminate Best-Kept service with bribery of any form. Money and payment arrangements must never be discussed with workers.  Questions pertaining to, or about company wages, should never occur. By disregarding this clause, the establishment owner and all who reside, or work, in or around the home, or business, acknowledge that legal action will be taken. The contracted service will terminate immediately without further notice, and without refund. To avoid any unforeseeable problems, and illegal cash handling, all financial and payment arrangements must be made and only discussed with Best-Kept service telephone sales and administrative staff.

 

Because Best-Kept service works really hard to recruit and hire top-notch, quality professionals from the hospitality industry, we impose a stiff 10 year minimum before any worker contracted by Best-Kept service, can work any additional jobs or outside contracted work for an existing, or former, client or customer. No outside work may be contracted aside from the service selected, and for the time period specified in this contract. This applies if the worker is still an active member of the company or not.  In other words, all service requests must be submitted to the Best-Kept service administrative staff and clients are not allowed to ask workers to do any additional work. Unless otherwise specified and agreed upon with Best-Kept service administrative staff. This clause includes staff of BEST-kept Service doing any jobs privately or referred by any individual in or around the establishment where Best-Kept Service is contracted. BY disregarding this clause, all customers & workers will be subject to a $50,000 penalty which is agreed upon by both the customer & BEST-KEPT SERVICE during time of sign up.

 

Scheduling:

 

As a client or customer of Best-Kept service, you understand that it is your right to request a particular worker on a continual or routine basis. Best-Kept Service will do everything possible to accommodate customers when possible. If a particular worker doing a continual assignment gets sick or for some reason is unavailable, the customer must understand that a new worker will be provided.

 

All customers are locked in to the agreed upon day(s) and/or date(s) mentioned in this contract. In the event that a customer cannot honor an appointment and a customer would like to reschedule, a full two week’s notice must be given with the requested change of date. Otherwise, billing will resume as agreed to avoid scheduling nightmares. Furthermore, an appointment can only be rescheduled to a day or date no later than a 2 week period to avoid customers rescheduling appointments for months later. All services must be rendered within 2 weeks from the rescheduling date with no more than a maximum 2 week time frame. A customer will only be allowed to reschedule a recurring appointment 2 times in each calendar year. Rescheduling should only be done by contacting the Best-Kept Service office and administrative staff. Scheduling and/or rescheduling appointments with members of the housekeeping staff, verbally, written or otherwise is prohibited. Cancelling an appointment is not optional.

 

Customer agreement:

 

By reading and replying to this email message, you acknowledge and fully understand that this is a binding agreement in the State of New York. You are the authorized individual at this home or business, and agree to have Best-Kept service provide residential and/or commercial cleaning services for your living, or work space, to begin on the date agreed upon in this contract, or from the day & date that you receive this message and to continue until the agreed-upon end time. Then you may opt to continue or decline service for another 1 year period.

 

If you have decided to retain Best-Kept service on a continual basis, please reply I agree to the Terms of Continual Service email which you received. By doing so, you acknowledge that you are the authorized individual at the location where service will take place. For assistance, please contact the area manager at 212-363-0869.
